Add students and invite colleagues

The People page is where everyone in your workspace lives. From it you can invite a colleague by email, create accounts for a whole class of students, sort students into groups, and reset a student's password when they get stuck. Staff sign in with their own email, while students get a simple login you hand out, so the way you add each is a little different.

You do not need any technical knowledge. Adding people happens through short dialogs that walk you through each step, and the student logins come out as cards you can print.

Before you start

Open People from your dashboard. Inviting colleagues and changing settings are owner jobs, so the Invite members button appears only if you are an owner. Creating student accounts and printing their logins works for anyone who can open the People page. If you reach the number of people your plan includes, talk to Sokra or your organisation owner about room for more, rather than looking for a checkout.

Build your list of people

The People page holds staff, students and groups together. The steps below cover each task: invite a colleague, create students, group them, and reset a password. Do the ones you need.

1. Open the People page

Open People from your dashboard. Tabs let you look at everyone, just Staff, just Students, or your Groups, so you can focus on the part you are working on.

2. Invite a colleague by email

Click Invite members, type or paste one or more email addresses (press Enter between them), and choose a Role. A Member can use the workspace but not change its settings or invite others; an Owner can change settings and invite people. Click Send invite, and each person gets an email to join.

3. Create student accounts

Click Add students to make logins for a class. Sokra generates the accounts and, when they are ready, shows login cards with each student's temporary username and password and a QR code to the sign-in page. Print the cards before you close the dialog, because for their safety you will not be able to see those logins again afterwards.

4. Organise students into groups

While adding students, or later, you can put them in a group, such as a class or a subject. Groups let you share spaces and materials with everyone in them at once, so a whole class gets the same assistant without you adding people one by one.

5. Reset a student's password

If a student cannot sign in, find them on the People page and choose Reset password. Sokra creates a new temporary password and shows it once, with the option to print a login card. Share it with that student; they can set their own password after they sign in. As with new accounts, you cannot see the password again once you close the dialog.

Data & safety

Student logins are made to be handed out, then changed. The temporary username and password appear once, when you create an account or reset a password, and Sokra cannot show them again, which is why it asks you to print the cards first. Tell students to set their own password after the first sign-in, so the temporary one stops working. Inviting and removing people, and changing roles, are limited to owners, so not everyone in a workspace can change who has access. If you have reached the number of people your plan covers, talk to Sokra rather than entering payment details anywhere.

Tips

  • Print login cards before closing the dialog. The temporary logins are shown only once, so a printed card is the safe copy.
  • Group students as you create them. Putting a class into a group up front means you can share an assistant with all of them in one step later.
  • Give the lowest role that fits. Most colleagues only need Member; keep the Owner role for the people who actually manage the workspace.

Troubleshooting

I closed the dialog and lost the student logins. For safety, Sokra shows temporary logins only once. Use Reset password on that student to create a fresh password you can print and hand over.

I cannot invite a colleague. Inviting members is an owner action, so the Invite members button is hidden if you are not an owner, and it is disabled once you reach the number of people your plan includes. Anyone who can open the People page can still Add students until you hit that same limit. Talk to Sokra or your organisation owner about room for more.

A colleague never got the invite. Ask them to check spam, and confirm the email address on the People page. If it is wrong, cancel the pending invitation there and send a fresh one to the correct address.
